| I think most event organisers have get carried away and get caught up in the excitement and been caught in this trap. NEVER COUNT YOUR PLAYERS UNTIL YOU HAVE THEIR MONEY!!!

Im sure that wasent the best way to move this but hey what can you do  for the guy taht has never shown up, while it would be nice to have had him there, coz more players is always fun, the fact that, without even attending he rates our games high enough to keep paying i see as positive stament of our quality. but to some intrestinf numbers the way we (mandala) look at our 50 % figure for a rough guess of potental attendies is simply we canvas a fair amount of interst for our games, some are close friends some are relative strangers, and it seems to work out taht we get about a 50% booking return based on people who say they will be there another frind of mine runs events for his group from cp, and they must have close to 95% attandance based on people saying they are turning up, i guess this is down to their smaler numbers and closer relationship with the potential bookies. err ive lost where i was going somone else join in

I'm honestly amazed that anyone can get 95% on people saying they'll turn up. I just wouldn't have thought life was that predictable for most people. Shit happens and I'd have thought more than 5% would not be able to come for reasons genuinely beyond their control.
I guess the natural optomism of the organizer must be a big factor. If you put "Yeah, yeah, it sounds interesting, I'll try and make it" down as an attendee then I suspect that you're going to be well below 50% if you write that person off as a no hoper than you're probably going to be above 50%.
History is an important source for LRP. Along with other works of fiction.

| I was surprised too, they were well below booking numbers required to breakeven and i was advising that they should cancel rather than lose the 400 quid or somtthng they would do, but they asked all their potention player base who was going and enough of them said they would but just haddent paid yet would pay on door etc, so thy took the risk, and i think all of the people who said they would addend did, personaly id have caved at the potntal loss at that point, but because it was clsoe to event, and the people that they were asking were good friends so they got very accurate numbers to what they wer expecting based on asking, within 1 i think, but i cant realy remember now it was like last year

I think we've had around 1 to 3 people book & pay, but not turn up, each year of Hyborian Tales. I have gladly, happily taken their money, and used it (usually) to get even better food for the people who do show up.

Its a constant problem, and happens to David all the time. I definitely agree with the "Don't count them until they've paid" philosophy. Just as beggars can't ride horse, "Oohh yes I'm coming" can't pay for sites, vans, or props.

Just as beggars can't ride horse, "Oohh yes I'm coming" can't pay for sites, vans, or props.(this is more an open question but your post made me think of it) true, but if you had 50 people all swearing blind they were comming and would pay on the door, but only 7 people paid in advance (and you needed 15 to break even on the fixed costs) woudl you cancel the event etc? coz thats where it gets tricky, how many people would it take promising they would come to mitagate the risk of losing money etc

I won't assume I'll get anyone who says they'll come, till they've paid. I'd rather cancel the event than rely on "Ooh, I'll come, honest, and pay on the door."
I regard anyone paying on the door as a handy added bonus, and I'll use their cash towards the next event. I don't want to rely on them to pay for stuff I've already bought.
