We held our tenth event at Gladstone, near Chester on 11th-13th May. The site was wonderful - buildings and grounds in good condition, an excellent kitchen, bunkrooms and space for a crew area meant that the only tent we had to erect was IC set dressing.

The warden was very helpful and just a really nice bloke. He was onsite once or twice but never intrusively. No Joe Public were around to spoil the effect (though a scout group was there briefly before Time In but didn't get in the way).

Riftworld is still building its numbers along with its reputation. We had a total of 34 people, just over twenty of those being players. Two crew just didn't turn up and two had to go home on Saturday afternoon leaving us somewhat shorthanded. As usually seems to be the case, we never know the numbers to expect until just before an event. We do have booking deadlines but about nine players paid on the gate. It helps to encourage those players who miss the booking deadline to at least let you know if they really intend to come, especially with a small system.

Our player and crew places are limited but we haven't quite reached our limits yet. It is frustrating, however, when you're trying to pay for the site, van hire, petrol and food to rely on those two or three people who you hope will turn up to help cover kit making costs. We do this out of passion for Live Role Play but it would be nice to turn a little profit for all our hard work. We don't believe in charging crew but do appreciate the various consumables they bring (like DOOM cake!). This gives those who may not usually be able to afford to play, or who are new to the hobby, the chance to LRP.

In previous events we found it a little difficult to keep accurate track of characters' possessions. Since certain items are used up in play and others gained through various means, we used to ask everyone to write their current stuff on a pad that went round.Not everyone got the pad or declared 'no change' so we didn't know exactly what was what when we later received a 'by the way...' email.

This time, we printed out each characters stats, put them in their event envelope along with ammo/medic/psi points tabs, maps and any other IC papers. At the end of the event, at the debriefing, we asked all players to write losses and gains on the backs of their character sheets and hand them all back in. There are usually one or two discrepancies due to lost or late emails but this event gave us a chance to make corrections and get back to a baseline.

Admin can be a bit tricky - we're a husband and wife team and I admit, not always consistent. It's taken a while to define roles (we're still learning) but generally Fain handles plot and downtime returns, I handle information gathering and mass communication.
Advertising is still in need of improvement, though our latest move to join forces with the organisers of the Waypoint and Arcroc systems in order to share certain costs (we already share a player/crew base) means that we have a support network whilst remaining as individual entities. We play and crew other systems so we have a chance to see how others go about it and tout for players and crew!!!

At the debrief, we always allow space for others to advertise their own systems (even if they clash with ours, hey Bacon?
