Oh, Matt, you know *I*'ll be honest about why I don't show up to your events! I'm not going to be at Maelstrom Event 3 this year 'cos I can't be arsed to drive to London twice in one year, and 3 Maelstroms a year is enough for me anyway.

One remedy I've found to people not turning up is to flat refuse to take 'on the gate' bookings without a darned good reason. I'll admit this probably isn't practical for all games and it isn't something I run with ESM, but it does work quite nicely.

Not so much a bookings thing. But everytime I run an event I take the number of crew who promise to turn up and halve it, I've never been wrong on predicted crew numbers yet.

At Burnt is Clean we have a strict limit on numbers and insist that players pay up front. This ensures we can deliver the props and costume we can be proud of and ensure that we do not over subscribe and can offer an experience we can be proud of. Ordering and making stuff takes time and money and someone paying on the door does not contibute to the event - in a time and money way.

I am all too aware that sometime real life gets in the way so try to come up with a reasonable arrangement if people cant make it. No refunds (we have spent your money already!) but we usually offer 50% off the next event.

This means that players are not so afraid to stump up the cash because they know, that if something does go wrong they haven't blown their money.

Not sure this system would work on the larger events but has worked fine with us, we are over subscribed and players know to pay us asap to enure they get a place.

I understand that Heroquest is probably one of if not THE best established LRP club (in terms of time running), I was wondering therefore how many of your cancelations where from new players as opposed to regulars, and what sort of ratio of new:regular players you had for the weekend?
